Navigating the Future: How Automation Is Reshaping Business Operations Today

Automation has ceased to be a futuristic concept and has become an indispensable tool in today’s fast-paced business environment. As businesses search for innovative ways to streamline operations, reduce costs, and enhance productivity, automation emerges as a critical enabler of business transformation.

But what role does it play in day-to-day business operations? How are different industries leveraging automation to solve specific operational challenges? To delve into this, we have consulted with thirteen experts across diverse sectors, including CEOs, COOs, and SEO Specialists.

They share their firsthand experiences on how automation influences areas from payroll allocation to social media management, from enhancing accuracy to streamlining SEO.

Automation in business

Enhancing Accuracy and Precision

Every day, news of automation taking over business processes is heard. However, insights into how automation is used in daily processes will be shared.

Automating tools enhance the accuracy, precision, and overall result of any activity. ProofHub is used for delegating tasks and monitoring progress. We created a custom workflow as per the needs of various departments. Further, with recurring tasks, ProofHub lowers the workload on employees by eliminating the need to perform manual tasks repeatedly.

However, it is ensured that, in spite of advanced technology or automation, employees are trusted with compelling creatives, designs, and innovative strategies!

One particular department where immense success was seen was in social media management. Posts are planned and scheduled in order to create a consistent flow of content. This small effort has significantly increased engagement on social media.

Sandeep Kashyap, CEO and Founder, ProofHub

Allocating Payroll to Departments

As the head of the finance team, we automate every process that is repetitive and based on standard inputs and outputs.

An example is department-level allocations for payroll invoices. When a payroll goes out, the invoice reports are pulled in by our finance automation server. The server then creates the journal entries, allocating payroll to the appropriate departmental accounts.

Assisting with Content, Data Entry, and Inventory

Automation plays a pivotal role in our daily business operations. We employ various automated systems to streamline tasks, enhancing efficiency and accuracy. These systems manage routine data entry, inventory tracking, and customer inquiries, to name a few.

Notably, we also use generative AI to create tailored content for our marketing efforts. By embracing automation, we optimize our processes, reduce errors, and significantly speed up growth.

Jay Toy, General Manager, 88stacks

Saving Time with Recruitment

One of the most time-consuming operations for a small business is recruitment. The hiring process for the development team includes several rounds, starting with the offline test tasks that all applicants receive. Programmers have created small automated tests so that candidates can check if they've coped with the task before submitting it for further verification. This saves the recruiter's time spent on giving feedback, communication, and screening of weak candidates.

As a LinkedIn automation tool, a great deal is known about automation. Customers who buy the product for lead generation save around three to four hours a day spent on repetitive actions (viewing profiles, sending messages, etc.). They can focus on better targeting or on analyzing the replies that are collected in a separate list. Thus, the initial coverage is automated, and a person gets involved at later stages where more personal contact is needed.

Taking Over Repetitive Tasks

Automation plays a crucial role in streamlining day-to-day business operations. By automating repetitive tasks, businesses can enhance efficiency, minimize errors, and enable team members to concentrate on more strategic and valuable work.

Take the example of our software testing company. Automation can perform routine test cases, freeing up QA professionals to focus on intricate scenarios and exploratory testing. Likewise, automation tools aid in marketing efforts by scheduling social media posts or segmenting email lists for targeted campaigns.

In essence, automation optimizes time and resources while driving productivity and fostering business growth.

Managing Communications and Projects

When running a business and having a lot of different tasks on the plate, it's hard to keep track of everything. Constantly juggling a lot of things at once—marketing, client communication, project management, etc.—and trying to streamline those processes losing no effectiveness is always a goal. Automating as many parts of that process as possible has allowed focus on the things that really matter: helping clients reach their goals.

Using automation tools like Slack for communications and Trello for project management allows staying organized without feeling overwhelmed by all the tasks that need doing.

Jaanus Põder, Founder and CEO, Envoice

Boosting Productivity

In my daily operations, automation serves as an essential driver of productivity. It saves significant time by automating routine tasks, liberating our team for critical and creative activities.

Automation is not just about timesaving; it's a harmonizer for our business tools. It unifies different systems, ensuring seamless communication, which optimizes our workflows.

Start with tasks that are repetitive and gradually expand. This way, you can enhance efficiency, improve productivity, and streamline operations. In the rapidly evolving business landscape, automation proves to be a powerful ally.

Monitoring Client Campaigns with Custom Bots

Automation has become an essential part of our daily operations, allowing us to focus on creativity and strategic thinking. For instance, we've implemented custom-built bots to monitor client campaign performance in real time. These bots send alerts if there's a significant change, enabling our team to respond quickly without constant manual tracking.

Additionally, our internal workflow automation takes care of mundane tasks like timesheet reminders and report generation. One specific outcome has been our automated client onboarding process, which has cut the time spent on administrative tasks by 40%. It ensures consistency, frees our team to build relationships, and provides immediate value to our clients.

Automation, in our context, is not about replacing humans but enhancing our efficiency and effectiveness.

Enhancing Customer Support

Automation has indeed become an integral part of our daily operations, particularly in the customer-support area. It's fascinating to see how much we can accomplish when we let technology take the wheel.

Our utilization of automation for customer support primarily revolves around chatbots and automated email responses. These tools have enabled us to promptly respond to customer queries and concerns, ensuring that each customer feels heard and valued.

However, we've learned that automation alone isn't the silver-bullet solution. For instance, chatbots are fantastic at handling straightforward inquiries, like tracking an order or answering frequently asked questions. Yet, they can fall short when dealing with complex, multi-layered issues that require human empathy and understanding. In such scenarios, human intervention is still needed.

Automation and human intervention aren’t mutually exclusive; rather, they complement each other to enhance the overall customer experience.

Providing Support with Social Media

A simple automation tool we use to keep our social media channels running smoothly is Hootsuite. Of course, we still post live frequently when there is a need, and we remain logged on to answer all queries. But being able to automate some posts in advance really helps to make the other tasks simpler and allows us to know that, regardless of how busy we are, each fortnight there will be set posts due to go out. This prevents us from falling off the face of the algorithm, or just forgetting to connect with our audience due to distractions in our core roles.

Social media may not seem like a core day-to-day role, but its impact on being the first place a consumer finds you continues to grow. That's why we find this automation so vital to our process.

Bobby Lawson, Technology Editor/Publisher, Earth Web

Streamlining Employee Focus

We use the flexibility of automation to help keep employees focused without sacrificing the quality of work. Automation is an intuitive platform that promotes productivity and efficiency, two essential qualities for outstanding employees.

Automation streamlines work progress and simplifies key tasks for us, such as collaborative, organizational, data management, and document management tasks. Additionally, such capabilities and flexibility help my team minimize both internal and external distractions.

Andrew Chen, Chief Product Officer, Videeo

Automating Content Strategy and Task Management

Automation plays a huge role in day-to-day operations at Scott Social. Content strategy, approvals, and publishing are largely automated, as well as our team's individual task lists. Gain App and Asana are our two star platforms for automation.

We utilize Gain App to build out social media strategies for clients, build posts, and send content approvals directly to the clients. Once the client approves the content, it is automatically scheduled and posted on the assigned date and time. This also gives the client a bit of the responsibility in the process of getting their content out on time.

Asana helps us keep track of our daily tasks by allowing us to assign tasks to any team member in any client channel. Having different channels for clients is great for keeping them all separate and diminishing confusion. Assigning, editing, and notating the completion of tasks is very simple, which is extremely important in a fast-paced environment.

Optimizing SEO and Web Design

As an SEO and web-design agency, if there's no automation, our business would surely be handicapped. While web designing and development require the necessary creative skills, automation plays a huge role in our SEO operations, report tracking, and report submission to our clients.

Different SEO automation features, such as backlink analysis, keyword tracking, and campaign optimization, are taken care of by tools like Ahrefs and SEMrush. These tools save our time and effort by putting the tasks on auto-pilot, which we used to do manually. Through Ahrefs, we've identified the backlinks we generate for our clients, and it helps in finding hidden backlinks that we wouldn't have known about.

Similarly, our task planning, campaign designing, and email marketing tasks are also driven by automation. It saves us time and allows the team to focus on strategizing and streamlining the tasks that require greater focus and overall attention. Businesses that are not using automation are surely missing out.

Conclusion: The Indispensable Role of Automation

The evidence is compelling—automation is not merely a trend but an integral part of modern business operations. As we have seen from the insights of thirteen industry experts, automation permeates almost every aspect of day-to-day activities.

From enhancing accuracy to enabling strategic thinking, automation tools and platforms provide unprecedented efficiency and agility. They help businesses remain competitive by reducing manual errors, allocating resources more effectively, and allowing employees to focus on high-value tasks that require creativity and innovation.

Importantly, automation is not positioned as a replacement for human skills but as a complement that enhances human capabilities. Whether through automated client onboarding processes, real-time monitoring of campaigns, or streamlined project management, automation is assisting businesses in achieving their objectives faster and more efficiently.

For high-level managers and business owners, it's not a question of whether to adopt automation but how to integrate it seamlessly into their existing systems for maximum benefit. As technology continues to evolve, the role of automation will undoubtedly expand, continuously reshaping the landscape of business operations. Therefore, embracing automation is not just a smart move—it's a strategic imperative for long-term success.
